How Matins treats what you tell it. Last updated 8 September 2026.
Matins is a morning ritual with an assistant in it. It plans your day with you, keeps your tasks, measures the time they take, and can read your unread email and calendar to bring things across. To do that it holds personal data, and this page says exactly what, why, where, and for how long, in plain words.
Matins is run by Cerebellum Group Ltd, a company registered in England and Wales (company number 13690140), whose registered office is Seabreeze Cottage, Victoria Way, Winchelsea Beach, Winchelsea TN36 4NH. Questions about your data go to privacy@matins.day. We are the data controller for what is described here.
| What | Why | Kept for |
|---|---|---|
| Your email address and password (the password is stored hashed, never readable) | To sign you in | While your account exists |
| Your name, working hours, time zone, the areas your work is divided into, and your preferences | To plan the day around you | While your account exists |
| Your tasks: titles, notes, estimates, when they were placed, when they were finished and how long they took | The product itself. The minutes a task took are how Matins learns to guess better for you | While your account exists |
| What you say to Matins and what it says back, as text | So Matins remembers the conversation across pages, devices and days, and so you can read it back | While your account exists |
| Short notes Matins keeps about how you work, when you ask it to remember something | So it does not ask twice | The most recent sixty, while your account exists |
| Your morning and evening answers: a word and a number for how you feel, and one thing for tomorrow | To shape the day and open the next one | The most recent sixty days |
| Counts of how much of the assistant, the ear and the voice you used | To run the service and, when plans exist, to keep use within a plan | Twelve months |
| Your voice, while you speak to Matins | To turn it into words | Not kept. Audio is streamed to the transcription service and discarded; we store the words, never the recording |
If you connect Google, Matins asks for three permissions, and uses them for exactly this:
gmail.readonly): Matins reads the sender, subject and a short preview of unread messages from the last three days, so you can bring one across as a task. It does not read older mail, does not read message bodies beyond the preview, and never sends, replies to, moves, labels or deletes anything. Nothing from your mailbox is stored by Matins except the one line you choose to turn into a task, with a link back to the message.calendar.readonly): so the day is planned around your appointments, and so an event can be brought across as a task.calendar.events): only when you ask Matins to put something on your calendar, or to move something it put there. It says what it is about to do before it does it, and a cancellation is never silent.Matins' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the features above, is never sold, never used for advertising, and never read by a person at Matins except to fix a fault you have reported, with your permission. You can disconnect Google at any time in Settings, which deletes the connection and its tokens, and you can also revoke access from your Google account.
Matins does not sell or rent data, and does not use it for advertising. To work, it sends specific things to these services, each under its own agreement to process data only on our instructions:
| Service | What it receives | Why |
|---|---|---|
| Anthropic (Claude) | The words of the conversation, your task list, your calendar for the day, and the notes Matins keeps; and the text of a web search when you ask Matins to look something up | The assistant thinks with it |
| Deepgram | Your voice, streamed live while you speak | Turning speech into words, and sometimes words into speech |
| ElevenLabs | The words Matins is about to say | Matins' voice |
| OpenAI, Groq | The same words, only if ElevenLabs and Deepgram are both unavailable | A fallback voice |
| Your sign-in to Google, and the requests described above | Mail and calendar | |
| Pocket, Slack, webhooks | Only if you connect them: items you choose to send to Matins | Bringing things across |
| Netcup | Everything, at rest, encrypted on disk | The server that runs Matins |
| Stripe | Your card and billing details, which Matins never sees | Taking payment |
Anthropic, Deepgram, ElevenLabs, OpenAI and Groq are in the United States and process data under standard contractual clauses. Matins' own server is in Vienna, Austria, in the European Union.
We process your data to provide the service you signed up for (performance of a contract), and for the small amount needed to keep the service running and secure (legitimate interests). Connecting Google, Pocket or Slack is your choice each time (consent), and you can withdraw it in Settings.
Matins sets no advertising or analytics cookies. Your browser keeps a sign-in token so you stay signed in, and a few preferences: which page you were on, whether the sidebar and the lists are folded, whether sound is on, and the time the day is locked until after a shutdown. Clearing site data removes them all.
Matins is for adults at work and is not offered to anyone under 16.
Everything travels over HTTPS. Passwords are hashed. The server is reachable only over an encrypted connection and is backed up nightly to a separate place. If a breach ever affects your data we will tell you within 72 hours of learning of it.
When this page changes in a way that matters, Matins will tell you in the app before the change applies. The date at the top is the date of the current version.
